RegistrationBuddy allows people to Register for a class, event, performance, or similar. It facilitates gathering payments, managing the waitlist, and setting them up for recurring payments (if applicable). How does it work?

Registration Period

This is a window of time during which customers can register – to use the example of a school, this would be the school year.

Registration Item

This is an offering you have that customers can select and register to attend – to use the example of a school, this would be a class.

Registration Object

This is a customer registration complete with status (waitlist, pending, confirmed, etc.).

Registration Payment

Registration Items can have one or more Registration Payments tied to them. Registration Payments can include:

  • One Time Invoice

  • Recurring Invoice (think monthly tuition)

Registration Payments can be configured to be Confirmation Payments which must be paid within a certain period (ex. 48 hours) to confirm registration (think registration fees) or they can be triggered after a Registration Object has been confirmed (think monthly tuition or fees).

Google Workspace

RegistrationBuddy collects Registrations through your Google Forms. You can use free Google Forms for this, but MyTechBuddy recommends Google Workspace as it will provide better service and confidentiality for your customers.

Google Workspace can also be used for many of your other business needs such as eMail, Calendars, Websites, and even Google Classroom. It’s what MyTechBuddy uses for our business – we really believe it can be a game changer!

If you’re a non-profit, Google Workspace is often free of charge through a program Google sponsors.

Square

RegistrationBuddy sends invoices through your Square account. We never touch your money and your customers will pay you directly. For each Registration Payment you set up, RegistrationBuddy will send Invoices through Square to your customers.

Square is a great solution for collecting payments from customers. It offers everything from Invoices to Point of Sale (cash registers) and even mobile payments. It’s what MyTechBuddy uses for our business – we love it!

How does it work?

 

MyTechBuddy will work with you to set up your Registration Period (think school year), the Registration Items (think classes), and Registration Payments (think registration fees, enrollment fees, and tuition) you’d like to offer during the Registration Period (think classes you’d like to offer during a school year). We’ll prepare a Google Form for you that shows current availability for each Registration Item and allows your customers to register for each item using their eMail address. You can also collect any other information you need such as a student name, etc. This information lives in your Google Form and can be viewed in a Google Sheet (spreadsheet).

When the Google Form is submitted, it sends the registration to RegistrationBuddy. RegistrationBuddy creates the Registration Object and either marks it as “pending” if you have available spots or “wait list” if registration is already full.

RegistrationBuddy then sends a Square Invoice, though your Square system, to the eMail provided in the Google Form for any Registration Payments you’ve identified as Confirmation Payments along with a note explaining the time your customer has to pay the invoice and confirm the registration. If the Invoices are not paid within the time you’ve selected, the Registration Object is marked as “expired” and the next registration on the wait list is moved to “pending”. If there is no wait list, then the requested spot is returned to the available spots on your Google Form.

If the Invoice is paid, RegistrationBuddy marks the Registration Object as “confirmed” and sends Triggered Payment invoices for any additional Registration Payments you’ve set up (think enrichment fees). If you set up a recurring invoice (think monthly tuition), RegistrationBuddy will send Invoices at the frequency you request until the end date you’ve selected (think the end of the school year).
